How can I bulk message applicants through EthicalJobs.com.au?

Last updated on 13 Mar, 2026

You can easily send a message to multiple applicants at once — for example, to let them know they haven’t been shortlisted or to update them on the progress of your recruitment process.

When you bulk message applicants, each applicant receives their message privately – they can't see who else you’ve messaged.

To send a bulk message:

1. Select applicants:
On your Applicants page, use the checkboxes next to each applicant’s name to select who you want to message.

2. Click 'Message':
Once you’ve selected your applicants, click the 'Message' button at the top of the list.

3. Write your message
A pop-up window will appear where you can:

  • Decide if applicants can reply: Replies are turned on by default, but you can turn them off by clicking the 'Allow replies' toggle to the off (grey) position. When the 'Allow replies' toggle is off, applicants will not be able to reply to your message, and the 'Send reply notifications to' box will be not be editable.

  • Choose who receives reply notifications: If replies are allowed, you can choose which users in your account get notified when an applicant replies to your message by entering one or more emails in the 'Send reply notifications to' box. It will default to you (the logged-in user), but you can choose someone else or select multiple people.

  • Write your own message, or choose an email template (like our Candidate rejection template) to quickly get started:

4. Send your message
When you click the 'Send message' button, each applicant will receive your message individually in their Ethicaljobs.com.au account, like this:

In this example, the employer has chosen not to allow replies, and the applicant can see the relevant note about this.

Each applicant you've messaged will receive a notification email that lets them know who messaged them, from which organisation, and which job it is in relation to, like this:

Bulk messaging is a great way to keep all your applicants informed and maintain a positive experience throughout your hiring process.
